How we look after your family's information.
Who we are
GLS Academy, a registered educational enterprise (Corporate Affairs Commission), teaches children live online. This policy covers this website and the GLS portal. Questions about it go to [email protected].
What we keep
Only what teaching each child needs:
- Your name, email address, WhatsApp number and time zone.
- Each child's name, age, stage, year group, curriculum and subjects, and anything you tell us about each child.
- Lesson times, attendance, the tutor's record of each lesson, monthly reports, assignments, marks and feedback, and the work each child hands in, including photos of written work.
- What you send through the contact and assessment forms.
- For tutors: the tutor profile, photograph and qualifications. A published profile shows on the Tutors page.
- Your password, stored so that no one can read it, and when you last signed in.
Signing in with Google
If you choose Continue with Google, Google shares your name, email address and profile photo with us and confirms the address is yours. We use the name and email address to set up your parent account and sign you in, and for nothing else. We do not keep the photo. We never see your Google password, and we ask for nothing else from your Google account: no contacts, files, calendar or email. Our use of information from Google follows the Google API Services User Data Policy, including its Limited Use requirements.
How we use it
To assess, approve and pair each child with a tutor, to run the lessons, to show you each child's records, reports and marked work, and to email you about your account, the lessons and news from the academy. Nothing is sold or used for advertising.
Who sees it
The academy's staff see it all. Each child's tutor sees that child's details and lessons, and you see your own family's. A few services do work for us:
- Resend sends our emails.
- Cloudflare carries the site's traffic.
- Google signs you in, if you choose it.
Where it is kept
On the academy's server in the European Union.
Visits to the website
We count visits to the public pages to see what helps families: the pages opened, the links and buttons clicked, the country, the kind of device, and the site a visit came from. No cookie is set for this and no internet address is kept, so the counts cannot be traced back to you. They are deleted after 25 months.
Cookies
Signing in sets cookies that keep you signed in. There are no advertising or tracking cookies; the Cookies page has the details.
How long we keep it
While your account is open, and for six months after it closes; then it is deleted. Closing your account from Settings ends sign-in for you and each child straight away.
Your rights
Change your own details in Settings. Ask for a copy of your family's information, a correction or deletion at any time at [email protected].
